Before vs after

An afternoon,
every fortnight. Gone.

Reconciling Amazon settlements by hand is the kind of work that quietly eats accountants' billable hours. Here's the swap.

Manual reconciliation

  • Download the flat-file V2 from Seller Central
  • Open it in Excel without breaking the encoding
  • Hand-classify thousands of lines into accounting buckets
  • Hunt down marketplace VAT vs reverse-charge
  • Punch totals into Xero and hope they reconcile
  • Hope your accountant doesn't spot the rounding

With TrueBooks

  • Connect Amazon once
  • New settlements arrive the day Amazon releases them
  • Every line is sorted automatically, MF VAT included
  • The right UK VAT rates apply to every line
  • One Xero invoice ties to your bank deposit — to the penny
  • An audit trail your accountant can sign off

Got my Saturdays back.

I used to spend a full evening every fortnight on the Amazon settlement. TrueBooks pulls it in and posts it cleanly to Xero — the totals match the deposit every time. The MF VAT split alone was worth signing up.

Posting to Xero

Post to Xero in one click — and roll it back in one click.

Preview a settlement before it touches Xero. Post it as a fully broken-out invoice. If you spot a mapping you'd rather change first, roll back — the Xero invoice is voided automatically.

  • Preview every line, every code before posting
  • Sales, refunds, FBA, storage, ads, MF VAT — kept separate
  • Rollback voids the Xero invoice and resets the row
  • Re-post reuses the same invoice number, no duplicates

What customers say

Built for the people doing the bookkeeping.

★★★★★

Finally an Amazon-to-Xero tool that actually balances.

We onboarded three Amazon clients onto TrueBooks last quarter. The Box 1 / Box 4 / Box 5 view is exactly what we need at quarter-end, and the rollback button has saved us more than once after a chart-of-accounts tweak.

★★★★★

Fairer pricing than anything else we tried.

The elastic plan is the killer feature. We had a quiet summer and the bill dropped. November came and the tier moved up automatically — no calls, no plan-juggling. Per-order cost falls as we grow, which is how it should work.

Security

Secure by design, not as an afterthought.

Your books hold real money and your VAT numbers. We treat every account like it's the one being attacked — two-factor sign-in from day one, plus an optional Stealth Mode for anything that could change your figures.

  • Two-factor sign-in via authenticator app, with one-time backup codes if you lose your phone
  • Text-message codes as a backup, sent to your verified number
  • Stealth Mode asks for a fresh code before posting, rollback, disconnect or delete — so a stolen laptop alone can't do harm
  • Remember a trusted device for 30 days to keep daily sign-in quick
  • Sensitive data encrypted, admins auto-signed-out after 30 minutes idle, every important action logged

Connects via the official Amazon SP-API and Xero OAuth — no passwords shared, nothing to install.

FAQ

Common questions, honest answers.

What is Amazon settlement reconciliation?+
Amazon settlement reconciliation is the process of matching the lump-sum bank deposit Amazon makes every ~14 days back to the underlying sales, refunds, fees, advertising, storage, MF VAT and tax adjustments that produced it. TrueBooks does it automatically — every line in your Seller Central settlement report is classified, summed and posted to Xero so the invoice total matches the bank deposit to the penny.
Is TrueBooks the right Amazon seller accounting software for me?+
TrueBooks is built for UK Amazon sellers using Xero — including FBA, MFN, and multi-marketplace EU sellers handling Marketplace Facilitator VAT. If you sell on Amazon and reconcile to Xero, you're the target user. If you're on QuickBooks-only or sell exclusively through other channels, TrueBooks isn't the right fit today.
Does TrueBooks integrate with QuickBooks?+
Currently TrueBooks integrates with Xero only. We focus on Xero because its tax-code model and tracking categories map cleanly onto Amazon's marketplace and MF VAT structure — which lets us post settlements that reconcile to the penny without intermediate journals. An Amazon QuickBooks integration is on our roadmap; email support@truebooks.co.uk if it would help.
How is the Amazon Xero integration different from a Xero bank feed?+
A Xero bank feed only sees the lump-sum Amazon deposit. TrueBooks sees every line behind it — Principal, Promotion, ItemFees, MarketplaceFacilitatorVAT, ShippingChargeback, FBA fees, storage renewals, retrocharged tax — and posts each one with the correct UK Xero code (OUTPUT2, INPUT2, ZERORATEDOUTPUT, REVERSECHARGES). The result is one AUTHORISED invoice in Xero that ties to the bank deposit and gives you a real, audit-ready VAT breakdown.
How does TrueBooks handle MF (Marketplace Facilitator) VAT?+
For orders where Amazon collects and remits VAT directly (typical EU/UK MF orders), TrueBooks routes the principal to a zero-rated 'Marketplace VAT Responsible' revenue line, splits MF Shipping correctly even on partial-withhold orders, and routes the matching MarketplaceFacilitatorVAT rows back into the same buckets so the totals reconcile. International FBA fees post at REVERSECHARGES, not INPUT2.
Do I need a developer account or API keys?+
No. Both the Amazon and Xero connections are click-to-authorise — same OAuth flow you'd use for any other tool. There's nothing to install on your machine either.
What if my Xero chart of accounts looks different from yours?+
TrueBooks pre-fills sensible UK defaults but lets you remap any category to whichever Xero account code you actually use. The mapping screen pulls your real codes live from Xero, so you only see what exists in your books.
Can I import historical Amazon settlements?+
Yes. Amazon keeps generated reports on file for around 90 days — TrueBooks pulls them automatically with one click. For older history, ask Seller Central to regenerate the reports you want and TrueBooks picks them up via SP-API.
What happens if I cancel?+
Your data stays in TrueBooks (read-only) so your audit trail is intact, and posted invoices remain in Xero unchanged. There's no minimum term — you can leave at the end of any month.
Does TrueBooks do my VAT return for me?+
It produces the breakdown your VAT return needs — Box 1, Box 4, Box 5, Box 6, Box 7 — and posts each settlement to Xero with the right codes applied. Filing the return itself is your accountant's job (or yours, via Xero's MTD submission).
Can I run TrueBooks alongside A2X or Link My Books while I compare?+
Yes — and we recommend it. Connect Amazon and Xero, preview a settlement or two line by line, and compare against your current tool before anything touches your books. Nothing posts to Xero without your click, and every posting can be rolled back. Cancel either tool whenever you've decided.
What happens when the 30-day trial ends?+
Nothing surprising. We never took a card, so you can't be charged automatically. When the trial ends you choose whether to add a payment method and continue on your tier — if you don't, your account becomes read-only and your data and audit trail stay intact.
